Generative Artificial Intelligence (GenAI) Use Statement

Responsible use, transparent disclosure, human accountability, and protection of scholarly integrity.

Assyfa Learning Journal recognizes that generative artificial intelligence (GenAI) tools may assist academic writing, translation, editing, analysis, and the presentation of research. Their use must remain transparent, verifiable, ethical, and subject to human oversight. This statement applies to authors, editors, peer reviewers, and contributors throughout submission, peer review, editing, and publication.

Authorship and Human Responsibility

GenAI systems, chatbots, large language models, and automated image-generation tools cannot be credited as authors or co-authors. Authorship is reserved for individuals who meet the journal's authorship criteria and can take responsibility for the work. Authors remain fully responsible for the originality, accuracy, methodological soundness, ethical compliance, references, permissions, and conclusions of all submitted material, including content developed with GenAI assistance.

Permitted Uses and Scholarly Verification

Authors may use GenAI to support language clarity, grammar, translation, manuscript organization, brainstorming, or other appropriate research-related tasks, provided the resulting work is carefully reviewed and verified by the authors. Using GenAI does not replace critical analysis, original scholarship, appropriate research methods, or the authors' responsibility to check factual claims and cited sources. Authors must verify every reference, quotation, numerical result, and substantive assertion rather than relying on AI outputs as authoritative evidence.

Mandatory Disclosure of GenAI Use

Authors must disclose substantive use of GenAI during manuscript preparation or research. The disclosure should identify the tool and, when available, its version or model, explain the purpose and scope of use, and describe how authors checked or validated the output. Include the disclosure in the submitted manuscript under a clearly labelled Declaration of Generative AI Use section, ordinarily before the references. Where relevant, describe AI-assisted data processing, analysis, or figure preparation in the Methods section as well. Authors should also disclose such use during submission in the cover letter or applicable OJS declaration fields.

Suggested declaration when GenAI was used: During the preparation of this manuscript, the authors used [tool name and version] for [specific purpose]. The authors reviewed, verified, and edited the resulting material and take full responsibility for the content of the publication.

Suggested declaration when GenAI was not used: The authors declare that no generative artificial intelligence tools were used in the preparation of this manuscript.

Research Data, Images, and References

GenAI must not be used to fabricate, falsify, or misrepresent research data, research participants, observations, citations, peer-review reports, or findings. AI-generated or AI-modified images, figures, audio, and other media must be clearly identified when used, with the tool and purpose disclosed. Such material must not be presented as authentic empirical evidence when it is synthetic. Any AI-assisted analytical workflow must be described sufficiently to enable methodological evaluation and, where feasible, reproducibility. Authors must respect copyright, privacy, consent, data protection, and applicable intellectual property requirements.

Use of GenAI by Peer Reviewers

Submitted manuscripts, figures, datasets, and editorial correspondence are confidential. Reviewers must not upload unpublished manuscript content or confidential review information to external GenAI services unless the journal has expressly authorized such use and confidentiality and the authors' rights are adequately protected. Reviewers must independently assess manuscripts, verify their evaluations, disclose any authorized GenAI assistance to the editor, and remain accountable for all review comments and recommendations.

Use of GenAI by Editors and Editorial Staff

Editors and editorial staff may use suitable digital assistance for routine administrative, language, or production tasks only where confidential information and personal data remain protected. They must not disclose confidential manuscripts, reviewer identities, or unpublished findings to GenAI tools without appropriate authorization and safeguards. GenAI may assist editorial work but must not independently make decisions on peer review, acceptance, rejection, corrections, or retractions. Final editorial decisions remain the responsibility of authorized human editors.

Investigation of Undisclosed or Inappropriate Use

Where concerns arise about undisclosed, misleading, or inappropriate GenAI use, the editorial office may request clarification, supporting documentation, corrected disclosures, or revisions. Allegations will be assessed fairly, based on available evidence, with an opportunity for the authors to respond. Editorial actions may include revision, rejection, correction, expression of concern, or retraction where justified, in accordance with the journal's publication ethics policies and relevant COPE guidance. Automated AI-detection scores alone should not be treated as conclusive proof of misconduct.

Policy Review and Contact

This statement may be reviewed as technologies, editorial standards, and scholarly publishing practices evolve. Questions about disclosure or responsible GenAI use should be directed to the editorial office through the journal's official contact page.
